Information collected

The bot and dashboard may store Discord IDs and roles, Roblox usernames, crew profiles, timezones and optional platform/availability settings, application responses, proof URLs, submissions, rating and quest progress, approved absence dates and reasons, daily excuses, weekly adjustments, Showdown activity, strikes, contact messages, officer review notes, audit logs, and season archives.

How it is used

These records support proof verification, absence-adjusted daily and Monday–Sunday weekly requirements, separate daily/weekly rating relief, reminders, crew statistics, season performance screening, member-officer contact, and staff decisions. Automated performance statuses provide context for human review; an approved absence does not automatically remove a flag.

Visibility

Members can see permitted profile, check, and rating information. Detailed absence reasons, contact chats, performance reviews, and audit records are restricted to authorized officers and administrators; limited management roles receive only the tools assigned to them.

Storage and retention

Production data is hosted with Cloudflare and proof may be stored as Discord-owned attachments. Records can be retained after a member leaves for season history, moderation, audit, and abuse prevention. We do not intentionally collect payment details, real names, or addresses.

Requests and third parties

Contact the bot operator or a server administrator to request review or removal of stored data; some records may be retained where needed for audit or crew history. Discord and Cloudflare have their own applicable terms and privacy policies.
